No data lock-in
It stays yours, in the folders and drives your business controls, not locked inside a Trace Intake database.
Your submissions, calls, documents and inventory are processed only to deliver the features you enable, then written to the network and business drives you choose. Trace Intake does not warehouse your records or make you depend on us to access them. Enabled service providers may process or temporarily retain information when a feature requires it, but Trace Intake’s owner systems do not store your operational data.
We retain only information related to account access, billing, service limits, general service health and provider references. Never your business files.

Approved testers receive the full program, pay nothing, and use isolated OpenAI and Twilio resources within owner-set limits. Invitations are issued individually after a unique HTTPS connection is prepared for the tester's computer.

Operational records and settings are stored on the business computer, network, and chosen business drives. Trace Intake owner systems retain only the account, billing, access, limits, provider references, and service-health information needed to operate the service—not business files.
The installed program processes information to provide enabled features, but the owner dashboard does not scan or store leads, calls, transcripts, documents, inventory records, legacy files, or business folder paths.
No. Business records already written to your computer, network, and drives remain yours. Full cancellation offers immediate deletion of the Trace Intake-held profile or retention of the setup for up to 90 days.
No. Trace Intake is designed to work with the business folders, synchronized drives, website, and call-forwarding process selected during setup.
Yes for the current beta. The computer, Trace Intake service, and secure Tunnel must remain online and reachable to accept incoming forms and calls. There is no owner-operated lead storage relay.
The local installation cannot receive new internet submissions while it is unreachable. Provider behaviour varies by feature, so outage recovery and missed-event handling must be tested and disclosed for every commercial connection before launch.
Strong project IDs, normalized email, and normalized phone numbers take priority. Name-only or tied matches are sent to Needs Review instead of being guessed.
Calls can be forwarded from an existing number to the assigned Trace Intake number. If Answering Service is paused, the assigned number can be held only while its disclosed Twilio holding charge continues.
