The shortest operational path

From first contact to the right client folder.

Trace Intake removes the repetitive office steps between receiving information and acting on it.

  1. 1

    Receive

A customer submits a form, leaves a message, or an approved system sends an update.

  2. 2

    Match

Strong identifiers connect the item to the right client and project. Uncertain matches are never guessed.

  3. 3

    Route

The complete package is written directly to the selected local and cloud business folders.

  4. 4

    Respond

A visible new-item indicator takes the team straight to the newest unseen work.

No data lock-in

Your data is not our legacy.

It stays yours, in the folders and drives your business controls, not locked inside a Trace Intake database.

Your submissions, calls, documents and inventory are processed only to deliver the features you enable, then written to the network and business drives you choose. Trace Intake does not warehouse your records or make you depend on us to access them. Enabled service providers may process or temporarily retain information when a feature requires it, but Trace Intake’s owner systems do not store your operational data.

We retain only information related to account access, billing, service limits, general service health and provider references. Never your business files.

Straight answers

The things we would want to know too.

No vague promises and no hiding the difficult questions. These answers describe the private beta today and clearly identify what still needs to be finalized before public sales.

What data does Trace Intake store?

Operational records and settings are stored on the business computer, network, and chosen business drives. Trace Intake owner systems retain only the account, billing, access, limits, provider references, and service-health information needed to operate the service—not business files.

Can Trace Intake see my business files?

The installed program processes information to provide enabled features, but the owner dashboard does not scan or store leads, calls, transcripts, documents, inventory records, legacy files, or business folder paths.

Will I lose my records if I cancel?

No. Business records already written to your computer, network, and drives remain yours. Full cancellation offers immediate deletion of the Trace Intake-held profile or retention of the setup for up to 90 days.

Will I have to replace my current systems?

No. Trace Intake is designed to work with the business folders, synchronized drives, website, and call-forwarding process selected during setup.

Does the business computer need to stay on?

Yes for the current beta. The computer, Trace Intake service, and secure Tunnel must remain online and reachable to accept incoming forms and calls. There is no owner-operated lead storage relay.

What happens during an internet or power outage?

The local installation cannot receive new internet submissions while it is unreachable. Provider behaviour varies by feature, so outage recovery and missed-event handling must be tested and disclosed for every commercial connection before launch.

Could a lead be placed in the wrong folder?

Strong project IDs, normalized email, and normalized phone numbers take priority. Name-only or tied matches are sent to Needs Review instead of being guessed.

Can I keep my existing business number?

Calls can be forwarded from an existing number to the assigned Trace Intake number. If Answering Service is paused, the assigned number can be held only while its disclosed Twilio holding charge continues.

What will Trace Intake actually cost?

Confirmed module prices are shown above. Provider usage, number holding, taxes, onboarding, and any other commercial charges will be disclosed before checkout opens.

Who helps me if something stops working?

The current private beta is owner-assisted. The permanent support channel, response expectations, and escalation process must be published before commercial sales begin.
