1. Current private beta
Approved testers receive the full selected beta access for $0. Stripe remains in test mode. Owner-funded OpenAI and Twilio resources operate only within assigned limits. No website visitor can start a trial, subscription, payment, or download.
2. Proposed Canadian prices
Taxes, included provider usage, overage handling, telephone-number costs, and any fair-use allowances must be finalized and shown as a complete total before checkout. No fee may be added through a preselected option or hidden after the advertised price.
3. Renewal and price changes
Monthly modules are intended to renew automatically in advance until cancelled. Before payment, the checkout and retained contract must state the amount, currency, tax, billing frequency, renewal date, included modules, provider-cost treatment, cancellation method, and how to obtain a copy.
A material price or renewal change must be announced before it takes effect and cannot be applied retroactively. If acceptance is required, the customer must actively accept; silence or a prechecked box is not acceptance.
4. Refunds and billing corrections
The proposed rule is: cancelling a monthly module stops its next renewal and access continues through the already-paid period, so the remaining period is normally not prorated. A refund or credit will be provided when required by law and should be available for a duplicate charge, an amount taken after effective cancellation, an unauthorized or processing error, or a service failure for which the final agreement promises a remedy.
A request concerning an initial purchase, refill, unused credit, extended outage, or exceptional hardship will be reviewed under the final published rule. No private-beta tester is charged, so no private-beta refund is due.
5. Cancelling one module
Other subscribed modules continue. The cancelled module stops new work at the end of its access period, but its settings and records on the business system remain so it can be restored without rebuilding. Delivered business records are not deleted.
An Answering Service customer must separately choose:
- Keep my number: accept the clearly disclosed ongoing Twilio number-holding cost so the number can be reused; or
- Release my number: stop that provider cost and acknowledge that the same number may not be recoverable.
No number-holding cost may continue through a preselected choice.
6. Fully cancelling Trace Intake
The customer can cancel without a Trace Intake cancellation fee. Access ends according to the paid period and applicable law. The final flow must give a dated confirmation and offer:
- Keep my Trace Intake profile for 90 days. Eligible profile, setup, routing, and provider-reference information remains until the displayed deletion date. The account can be restored during the window. Only a separately accepted provider cost may continue.
- Delete my Trace Intake profile and data. After recent authentication, an unchecked acknowledgement, and typed `DELETE`, eligible owner-side profile, settings, access, and provider resources are scheduled for cleanup.
7. Deletion and records that remain
Deletion never targets submissions, calls, transcripts, documents, inventory, legacy records, or other business files already delivered to customer-controlled folders and drives. The destructive confirmation must say that plainly.
Billing, transaction, tax, accounting, fraud-prevention, security, dispute, consent, and legally required records may remain for the required period. Providers may retain limited records under their terms. A completion receipt must identify what was deleted, what remains, why, and the expected completion date without exposing secrets.
The permanent self-service control is not active in the private beta. It remains blocked until authenticated ownership, idempotent cleanup, Stripe, Twilio and OpenAI acceptance, audit, restore, and business-file non-deletion tests pass.
8. Billing questions and disputes
The final checkout must publish a working billing contact and notice address. Customers should first report a question or suspected error with the invoice or transaction reference and enough information to investigate without sending full payment-card details.
Nothing in this draft waives a right or remedy that cannot legally be waived. The final commercial policy must be reviewed for the intended business-to-business market, any consumer transaction that may still occur, Alberta internet-contract requirements, taxes, card-network rules, and Stripe terms.
